For Admins: Nomination Programs
A nomination program delivers the ability for peers to nominate one another for acknowledgment and rewards based on outstanding performance or achievements.
This program includes a form where employees can provide details about the nominee's actions and why they deserve recognition.
Reviewing Nominations
As an approver/administrator, you have the ability to Approve, Acknowledge, or Close a nomination. Approving a nomination will reward the nominee with the recommended reward, while acknowledging will just accept that the nomination has been viewed. Closing the recognition will not allow it to be edited and no recognition will be sent.
- Approved = Winner (The winner receives both an email and an in-app notification. By default, this winner recognition is public and appears in the activity feed, although the approver can choose to make it private. Managers are notified via email and in-app when someone on their team wins a nomination.)
- Acknowledged = Runner-up (acknowledged nominee receives a digital recognition similar to the winner experience along with an email and in-app notification. As with approved nominations, the recognition is public by default, but the approver can opt to make it private.)
- Closed = No action/experience
In addition:
- Nomination recognitions can be toggled between public and private.
- Comments are visible only to the sender and approver, not the nominee or general audience
Here's how it works:
- From the dashboard, click on the "Tasks" tab.
- In the Tasks tab, you will see a list of nominations and their status. You may filter by specific program (with the "Program" drop down). You may also filter by the date submitted.
- Click on any row to view the status of the nomination.
- When scrolling down through the nomination, you will get near the bottom where you can add comments to the sender and check a nomination status.
- Type in the approver's name and select them. You may type in additional comments to the sender.
- As previously mentioned:
- If you choose Nomination Status "Closed", the nominee will not receive the points or recognition.
- If you choose Nomination Status "Acknowledged", the nominee will receive recognition but will not receive points. In addition, you may choose to schedule the recognition at a later time by clicking the "Schedule It" box. Otherwise, the Recognition will be sent immediately. Last, you may choose to send the recognition privately.
- If you choose Nomination Status "Approved", the nominee will receive both recognition and points. As an approver, you may change the points reward yourself. In addition, you may choose to schedule the recognition at a later time by clicking the "Schedule It" box. Otherwise, the Recognition will be sent immediately. Last, you may choose to send the recognition privately.
- When ready, click "Finalize Review" and you will have one final chance to review before sending. Click continue to follow through with the status of the nomination.
- When complete, recognition will be sent to the nominee. In addition, both the sender and the manager will be notified of the status, if approved or acknowledged.
- If you choose Nomination Status "Closed", the nominee will not receive the points or recognition.
Nomination Notifications
Notifications are sent for a variety of reasons within a nominations program. Depending on your settings, email notifications will go out to:
- Users selected to approve nominations
- Managers receiving notifications of nominations for their direct reports
Below are examples of each of the nomination notifications that go out.
Users Selected to Approve Nominations
This email is sent when a user becomes eligible to be an approver in a nomination program.
Subject: Great news! You have been added as an approver for <ProgramName>
Managers Receiving Notifications of Nominations
This email is sent to the manager when a nomination is submitted for their direct report.
Subject: Someone on your team has been nominated!
Admin Reporting Features for Nomination Programs
In the Tasks tab, you will see a list of nominations and their status. You may filter by specific program (with the "Program" drop down). You may also filter by the date submitted.
Assigning Delegates to Approve / Acknowledge Nomination Programs
Leadership and manager employees may assign delegates to submit a nomination on behalf of themselves. The nomination process, found on the User Nomination experience help article, remains unchanged. Again, the delegate will be able to send a nomination on behalf of the leadership that assigned them.
As a leadership / manager, here is how to assign a user as a delegate for nominations:
- Go to the Profile Tab, then Click on the Settings Tab :
- Click on the Delegates section, and then click on the "Add New Delegate"
- Type and Select the Employee's Name. Also, click the "Can Initiate Recognition on my Behalf" checkbox.
- Click "Add"
- You can now see them as being able to Send Recognition on Your Behalf
